There will be occasions when we will need to get your consent to process and use your information and data. You can also choose specifically what you agree to us using your data for and how long you give us your permission to use it.

We need your permission to send you any electronic communications including text, email and phone that is outside of our core normal activities as a housing provider. Examples include:
- Invites to community fun events
- Referral and promotions of our services and new developments including WorkSmart.

We need your permission to grant another person (family member, friend or representative etc) access to your personal data where they have no legal right to it (i.e. Power of attorney for property and financial affairs). Please note, if you would like to withdraw this consent, you must let our Data Protection Officer know in writing and authorising the request by including your signature. Depending on the size of the event we will capture your consent/permission to take your photos in two ways:
- Events with under 20 people (not including Network Homes staff) - We will require you to complete an individual consent form and obtain a sticker. The form could either be paper based or completed by a web form that will be sent to your email address using our trusted partner One Trust. For more information on One Trust, please read the section below titled how consent will be managed.
- Events with over 20 people (not including Network Homes staff) - We will display a poster advising what we will be using your photo for. Should you attached the sticker given to you at entry and directly pose for the camera, you are giving us your free and informed decision that you are happy for us to take your photo and use them for the purposes displayed on our event poster. You can withdraw your consent at any time by emailing firstname.lastname@example.org detailing the name and date of the event and providing a photo of yourself so that we identify you from the pictures taken. Please note that we will be unable to remove any photos of you that have been sent into the public domain (i.e. printed newsletter) before your withdrawal of consent.
How does Network Homes manage consent
We will use a third party, One Trust Limited, to help us manage our records of consent. They are leading providers in data privacy software. Whenever you receive an email from One Trust, it will be from the email address email@example.com and the first email you will receive is to acknowledge your consent and give you access to a consent portal called Preference Centre. In the Preference Centre you can withdraw and manage your consents (except for advocacy and photos which will require additional steps). The reason for the exceptions are:
Advocacy - we need to ensure that the request for change is coming from you and to do this we need you to confirm any changes with a signature. We'll use your signature from another document we have for you to match up the signatures.
Photos – sometimes we're not able to identify you in our photographs and will need you to let us know who you are by either sending us a photograph of yourself or giving us a description of yourself in a specific photograph we have published of you. Once we are certain we have identified you correctly, we'll be able to honour your request to no longer use your photo. If you are identifying yourself with a photo, please send your photo to Marketing and Communications team, Olympic Office Centre, 8 Fulton Road, London, HA9 0NU. We will delete your photo when we have identified you in our pictures.
